All records will be indexed and tracked with bar-coded labels; this enables us to easily store, locate.

SRM warehouse is equipped with Multi Loop Fire Alarm Control Panel with LCD display,Laser beam detectors, Armored Cabling all with UL approved that is itself only SRM has the said capability in the Record Management till date .Apart from that, every row in our warehouse is facilitated with CCTVs with revolving cameras inside and outside of our warehouse to have a clear footage at every nook and corner of the warehouse.

SRM are providing P4 Level Secure Destruction & also use recycling process for CSR.

  Retrieval services: Include the following options:

 a) Same day retrieval - Electronic or same day

b) Normal retrieval - next day

This is made possible because SRM has its own fleet of vehicles designed for safe transport of records.

All records will be indexed and tracked with bar-coded labels; this enables us to easily store, locate and re-file records upon your request. SRM team pick-up records from customer location, SRM team will scan each File barcode & cartons at customer location and then scan again at the SRM Record Center. Files are scanned third time as files are placed onto their shelf location. This triple scan process serves to validate the accuracy of the order as items move from customer location to SRM.

Receive Documents for Scanning

  1. List of the files to be handed over for scanning in batches.
  2. Details and contents of each file to be verified by receiving person and make corresponding entries in the RECEIPT AND RETURN REGISTER

Analysis of Documents

  1. Without removing staples and tags, all Files to be examined for:-
  2. Wrong contents in File/s.
  3. Wrong contents between multiple File/s.
  4. Bad optical quality documents including Photocopies.
  5. Documents with Photos (Photocopies).
  6.  Documents with Photos (Actual photos stapled).Documents with additional paper/notes stuck on it.
  7.  Differential in the optical conditions on various parts.
  8.  Non-readable part/s on documents.
  9.   Marking colors/inks other than main colour of contents.

Batch Preparation

  1. Removal of staples/pins/tags from documents.
  2. Computer stationery to be trimmed to size and multi-part (multiple copies) of same printout removed.
  3. Arrange the documents in final sequence.
  4. Place the document page/s separated in the files.
  5. Enter the name of the staff and details of the file into ‘FILE PREPARATION REGISTER’.

Document Scanning

  1. Document Batches are handed over to Scanning team for scanning.
  2.  All The Documents including CAF will be scanned in Gray Scale Mode. And the Photo on the 1st page has to be scanned in Color.
  3. Scanned documents are batched and saved in TIFF.
  4.  Scanned document batches sent to QC team for Quality Check.

QC & Re-Scan

  1. Scanned Documents are checked for quality to ensure clarity of the documents and its contents.
  2.  QC done for image quality and readability of contents. In case the scanned image of the document or its contents is too light or too dark, the same document will be rescanned.
  3.  Any missed pages that need to be inserted or scanned pages that have to be dropped, will be done at this stage.
  4.  The earlier scanned document will be replaced with the reassembled document.
  5. Orientation of Scanned documents is corrected if required.
  6.  Documents image badly skewed during scanning are de-skewed.
  7. Page sequence verification. If any of the scanned pages are found to be out of original document sequence, those pages will be re-sequenced.
  8.  Final Page count to be recorded on closing of QC (after, all deletion / additions of pages are done) on Batch and Committing it for indexing.
  9. This gives the official and final Page Count for the document batch for purposes of tracking and auditing

Indexing & Index QC

  1. Once the scanning is done, the next step is to enter data/indexes of the images into the software for easier search and retrieval of these documents.
  2. The indexing is done in close monitoring of various quality parameters and client directions.
